Effects of implementing SAP S/4HANA in Operational Purchasing

Abstract

The objective of this case study research was to discover and assess the most critical issues that may surface during the conversion process from the current ERP system of the case organisation to a new ERP system to be implemented shortly, especially concerning operational purchasing. During this study, the issues were analysed from a theoretical and a qualitative empirical point of view.

In the theoretical part this thesis discovered that purchasing is a topic that may greatly affect the overall and financial performance of an organisation. As purchasing may strongly link together with Enterprise Resource Planning (ERP), the issues together create an important subject to research further. Relevant literature and academic articles were analysed to create a theoretical framework to be applied in the empirical part.

In the empirical part of this research, the issues were assessed from a practical approach. The purchasing processes, the state of the current ERP system, and the forthcoming ERP system of the case organisation were analysed. Based on these analyses and the theoretical framework, the research objective was analysed and reflected upon the case company. As a result, essential findings were discovered. The most critical changes that the case organisation will face during the ERP conversion process are fourfold. First, the user interface will undergo major changes, and should thus be noted. Second, all the transactions used within the current ERP system will not be available in the new system. Third, the analytical possibilities in the new system will provide a wide array of new options. And fourth, the artificial intelligence (AI) will play a major role when assessing the future operations of purchasing. As a conclusion, multiple suggestions concerning the usability of the new ERP system were given to the case organisation.

Tämän tutkielman tarkoituksena oli löytää ja tarkastella kaikkein kriittisimpiä muutoksia, jotka voivat nousta esiin kohdeorganisaation ERP-järjestelmän päivitysprosessin yhteydessä operatiivisen oston näkökulmasta. Tämän tutkielman aikana aiheita tutkittiin niin teoreettisesta, kuin kvalitatiivisesta empiirisestä perspektiivistä.

Tämän työn teoreettisessa osassa havaittiin, että ostoprosessit voivat vaikuttaa vahvasti yrityksien taloudelliseen ja kokonaisvaltaiseen menestykseen. Ostoprosessit ja ERPjärjestelmät voivat usein olla yhteydessä toisiinsa laajasti, joten yhdessä nämä osa-alueet muodostavat kokonaisuuden, jonka tutkiminen voi olla kannattavaa. Olennaisia kirjallisuusteoksia ja artikkeleita analysoitiin, joiden pohjalta luotiin teoreettinen runko, jota käytettiin työn empiirisessä osuudessa.

Tämän tutkielman empiirisessä osassa työn aihealueita tutkittiin käytännöllisellä lähestymistavalla. Kohdeorganisaation ostoprosessit, tämänhetkisen ERP-järjestelmän tilanne, sekä tuleva ERP-järjestelmä analysoitiin. Näiden analyysien ja teoreettisen rungon perusteella tutkittiin työn tutkimusongelmaa kohdeyrityksen kontekstissa. Analyysien tuloksena havaittiin useita tärkeitä muutoskohteita. Kriittisimmät muutokset joita kohdeyritys voi tulla kohtaamaan ERP päivityksen aikana voidaan jakaa neljään osaalueeseen. Ensimmäiseksi, käyttöliittymä päivittyy täysin ja vaatii täten erityistä huomiota. Toiseksi, kaikki transaktiot, joita tällä hetkellä käytetään eivät ole käytettävissä uudessa järjestelmässä. Kolmanneksi, uuden järjestelmän analyyttiset ominaisuudet tuovat laajan valikoiman uusia mahdollisuuksia. Neljänneksi, uuden järjestelmän mukanaan tuoma tekoäly voi vaikuttaa tuleviin ostoprosesseihin suuresti. Tutkielman lopputuloksena kohdeyritykselle annettiin ehdotuksia, miten varautua tuleviin muutoksiin ja suoriutua uudessa ERP-järjestelmässä.
